Working Together: Everything You Need to Know

Every agency, consultant, and freelancer has a different approach, so we wanted to share what it looks like to work with Pastimes Marketing.
We’re super flexible if you have firm preferences or established processes, but left to our own devices, this is what our client relationships look like.
Intro Call
Once you’re ready to chat with us, you are welcome to set up a meeting using Calendly. Just as a heads up, we record all of our meetings together so we can be present and strategic instead of taking notes. Someday we’ll all get AI executive assistants, but for now, this is what works for us.
Then you’ll need to fill out a super short form that will make our meeting more efficient and help us prepare. We just want to know basics like what exactly your business offers, what you are currently doing to retain customers, and what your marketing budget is.
If we have good chemistry and think we can help you achieve your goals, we’ll put together a proposed scope of work. Once you take a look at all the details like deliverables, timeline, and investment, you can give us a big thumbs up so we can get started.
Signing the Contract
OMG, we’re so flattered! We can’t wait to work with you.
We’ll send over a signed final scope of work (SOW), and a signed master services agreement (MSA) which is just all the legalese protecting both of us. This includes all the fine print about how revisions and payments work as well. Once you sign that and send it back to us, we’ll add that to your project’s Google Drive folder, where everything we do together will live.
You’ll also pay a $1,000 deposit at this time. After that, payments will be invoiced monthly as you would with any other service provider.
Project Prep
There are a few more things we will need in order to get started, things like your brand book, your billing contact information, and the approval process for our work.
Then you’re ready to schedule your kick off call, again via Calendly. Just be sure to send us all the goodies at least 48 hours before our call so we have time to review it. Again, we wanna be prepared and efficient.
Kick Off Call
In this conversation, we’ll share a more detailed plan about how we’ll accomplish all of this, including a timeline for when you can expect work and updates from us.
Work Begins
The easy part for you. We’ll get started on everything we promised in the SOW and send over the deliverable drafts as we complete them according to the timeline we shared in the kick-off call.
One note about meetings
We don’t believe in meetings for meetings sake because who has time for that? We’ll send you an email Monday morning with a recap of everything we accomplished the week before, what we plan to work on in the upcoming week, and any outstanding tasks for you (e.g. edits).
If you want to have more regular meetings, we’re open to that, just say so.
We’d also love to meet at least once throughout our work together if possible, perhaps to celebrate all the awesome metrics you’re gonna achieve? Can’t wait!
BFFs 4eva?
Hopefully, you love the work we did for you. It saved you time, money, and a headache so you want to keep working with us forever. But we understand the many reasons why that might not be the case. If our project wraps up, just know that your deliverables will be available in your private Google Drive folder for one year after the final invoice date. Please download everything you need so we can keep our digital spaces tidy. The Marie Kondo method applies to our digital lives too, folks!
